Robotic Process Automation (RPA)

Overview

UKG HR Service Delivery provides Robotic Process Automation (RPA) capabilities to streamline HR operations by automating repetitive and manual tasks. RPA integrations help reduce errors, save time, and improve compliance by ensuring that processes are executed consistently and at scale.

RPA in HR Service Delivery can be applied to document distribution, document generation, employee onboarding, and many other HR workflows.

Key features

  • Automated imports: Trigger HR data synchronization automatically via SFTP or APIs.
  • Process automation: Run predefined HR processes (e.g., onboarding, promotions, offboarding) with minimal manual input.
  • Document handling: Automate generation, routing, and archiving of employee documents.
  • Integration: Connect seamlessly with HRIS and payroll systems to synchronize employees, organizations, datasets, and more.
  • Scalability: Handle thousands of records or documents in batch with consistent accuracy.

Typical workflow

  1. Trigger event

    • An HRIS export, payroll run, or scheduled task generates files (CSV, ZIP).
  2. File transfer

    • Files are sent automatically to UKG HR Service Delivery via SFTP or API.
  3. RPA processing

    • Files are parsed and validated.
    • Data is synchronized (employees, managers, organizations, etc.).
    • Documents are generated or distributed.
  4. Archiving and reporting

    • Documents are archived in employee folders.
    • Reports are created in SFTP output directories, confirming successful operations or highlighting errors.

Benefits

  • Reduce repetitive HR tasks.
  • Ensure compliance by following standardized workflows.
  • Improve HR agility by integrating directly with HRIS.
  • Free up HR resources for more strategic tasks.

Best practices

  • Use staging environments to test RPA flows before deploying to production.
  • Monitor reports in output directories to detect and resolve issues quickly.
  • Define clear naming conventions for files and imports.
  • Regularly audit automated processes to ensure compliance with evolving policies.
