Overview

When distributing documents in UKG HR Service Delivery, certain employees may require paper delivery rather than electronic vault distribution. The printing configuration defines how these paper documents are generated, formatted, and routed.

Paper configuration elements

  • Printer settings: Defines which printer or printing service to use.
  • Duplex (double‑sided): Option to print documents on both sides of the page.
  • Address page: Inserts a cover page with the employee’s mailing address.
  • Envelope format: Determines size and window placement for mailing.
  • Postage class: Defines how the documents will be mailed (standard, priority, international).
  • Batching rules: Allows multiple documents for the same employee to be grouped into one envelope.

Usage in distribution projects

  • Paper configuration is assigned at the project level when creating or updating a distribution project.
  • Multiple configurations can exist (for example: domestic vs. international mailing).
  • Administrators select which paper configuration to apply when uploading a batch.

Workflow

  1. A distribution project is created with paper configuration enabled.
  2. During processing, documents for employees who require paper delivery are routed through the printing configuration.
  3. Generated paper files are sent to the printing partner or internal printer.
  4. Employees with active vaults continue to receive their documents electronically unless overridden.

Best practices

  • Define clear rules for which employees or document types require paper delivery.
  • Use batching rules to minimize mailing costs by grouping documents.
  • Regularly review paper configuration with your printing provider to ensure compliance with postal requirements.
